1. THE CONTRACT & LEGAL COMPLIANCE

1.1 A binding contract is formed between Winson Holidays LTD ("we", "us", "the Company") and the person making the booking ("you", "the client") upon our written acceptance and confirmation of your deposit.

1.2 Your Key Rights: This contract is subject to the Consumer Rights Act 2015. As the organiser, we accept full responsibility for the proper performance of all services included in your booking.

1.3 Public Liability Insurance: Winson Holidays LTD maintains appropriate Public Liability Insurance in respect of its line dance weekends, events, and associated activities held at venues throughout the United Kingdom.

Our Public Liability Insurance is maintained to provide protection against claims arising from our negligence, subject to the terms, conditions, exclusions, and limits of the applicable insurance policy.

The existence of this insurance does not create any additional liability or obligation beyond those imposed by law or these Terms and Conditions. All participants remain responsible for taking reasonable care for their own safety, personal belongings, and conduct during our events.

1.4 Entertainment & Lineup Changes: While we accept responsibility for delivering the holiday, specific advertised entertainment—including named Choreographers, Instructors, DJs, or performers—is subject to change without notice due to sickness, injury, or operational necessity. Provided we replace them with a comparable alternative, such a change does not constitute a "significant alteration" to your package and does not entitle you to a refund or compensation.

2. YOUR OBLIGATIONS & PAYMENTS

2.1 Payment for Your Holiday

• 2.1.1 A non-refundable deposit of £30.00 per person is required to secure a booking. Upon receipt, we will issue a booking confirmation and invoice.

• 2.1.2 Deposits are strictly non-transferable to any other event, holiday, or person.

• 2.1.3 The balance of the holiday cost must be paid in full by the deadline specified on your invoice (a reminder email will be sent to all clients prior to this date).

• 2.1.4 If the full balance is not received by the due date, we reserve the right to treat your booking as cancelled by you, and the cancellation charges in Section 2.2.3 will apply.

2.2 Cancellations and Amendments by You

• 2.2.1 You or any member of your party may cancel the booking at any time by providing written notice to us via email or post. The cancellation is only effective from the date we receive this written notice.

• 2.2.2 Under-Occupancy Supplements: If a member of your party cancels and it reduces room occupancy (e.g., a twin room becomes a single room), the remaining guests in that booking will become liable for any single-occupancy supplements or increased room charges imposed by the venue.

• 2.2.3 Scale of Cancellation Charges: In the event of a cancellation, charges are calculated as a percentage of the total holiday cost based on the notice given:

2.3 Holiday Insurance

• 2.3.1 Winson Holidays Ltd do not provide personal travel insurance. It is highly recommended that you take out comprehensive holiday insurance covering personal cancellation, illness, injury, medical expenses, and personal loss.

3. BEHAVIOR, RESPONSIBILITY & LIABILITY

3.1 Passenger Behaviour: You are responsible for ensuring that you and your party behave in a safe, reasonable, and respectful manner. You must not cause damage, distress, danger, or annoyance to other clients, guests, hotel staff, or our team.

3.2 If your behaviour is disruptive, dangerous, or in breach of the hotel's policies, we or the hotel management reserve the right to terminate your holiday immediately. You will be required to leave the venue, no refunds will be given, and we will not be liable for any return travel costs.

3.3 Limitation of Liability: Winson Holidays Ltd will provide its services with reasonable care and skill in accordance with the Consumer Rights Act 2015. Subject to applicable law, our total liability for any loss arising from your booking shall not exceed three times the total price paid for your booking.

Nothing in these Terms and Conditions excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot legally be excluded or limited under English law.

3.4 Complaints: If you encounter any issue during your holiday, you must report it to our team immediately while on-site so we are given a fair opportunity to resolve it.

3.5. Photography and Marketing: We regularly take photographs and videos during our weekend events for promotional and marketing purposes (including our website, print materials, and social media channels). By attending the event, you acknowledge that you may appear in these materials. If you or any member of your party do not wish to be photographed or filmed, please notify our team in writing or at the event registration desk, and we will happily ensure your image is not utilized.

4. CANCELLATIONS & ALTERATIONS BY THE COMPANY

4.1 Force Majeure: Winson Holidays Ltd shall not be liable for any loss, damage, delay, or failure to perform its obligations under this agreement where such failure or delay arises from events beyond its reasonable control ("Force Majeure"). Force Majeure events include, but are not limited to, war, terrorism, civil unrest, riots, natural disasters, fire, flood, severe weather, epidemics or pandemics, government action or restrictions, industrial disputes, transport disruption, or the unexpected closure or unavailability of the event venue.

Where a Force Majeure event affects the operation of an event, Winson Holidays Ltd will use all reasonable endeavours to reschedule the event to an alternative date. Any payments already made by clients will automatically be transferred to the rescheduled event.

If, despite reasonable efforts, the event cannot be rescheduled, Winson Holidays Ltd will consider all available options, including the provision of a credit note, partial refund, or other appropriate remedy, taking into account any unrecoverable costs incurred and its legal obligations. Nothing in these terms excludes or limits any rights that clients may have under applicable consumer protection legislation.

4.2 Minimum Numbers: Our weekend events require a minimum number of participants to operate. If we must cancel the event because minimum numbers have not been met, we will notify you no later than 14 days before departure and provide a full refund of all monies paid. We will not be liable for any additional compensation.

2. HOW WE USE YOUR INFORMATION

We only use your data when the law allows us to. Most commonly, we use it to:

• Process your booking, manage your payments, and fulfil our holiday contract with you.

• Share essential details (such as names and dietary needs) with the host hotels so they can arrange your rooms and meals.

• Send you important updates regarding your upcoming trip.

• Send you optional newsletters or marketing updates about future holidays (only if you have explicitly opted in).

3. SHARING YOUR DATA

We strictly limit who we share your data with.

• We only share necessary information (like names, room preferences, and dietary requirements) with our trusted third-party partners—specifically the hotels hosting our events.

• We will never sell, rent, or lease your personal data to any third-party marketing companies.

• We may share your information if legally required to do so by UK law enforcement or regulatory authorities.

4. DATA SECURITY & RETENTION

• We have security measures in place to prevent your personal data from being accidentally lost, used, or accessed in an unauthorized way.

• We only keep your personal information for as long as necessary to fulfil the purposes we collected it for, including satisfying any legal, accounting, or reporting requirements (usually up to 6 years after a transaction for UK tax records).

5. YOUR LEGAL RIGHTS

Under UK GDPR, you have the right to:

• Access a copy of the personal information we hold about you.

• Correct any inaccurate or incomplete information we have about you.

• Request deletion of your data, provided we no longer need it to fulfil an active holiday contract or a legal tax duty.

• Withdraw consent to our marketing emails at any time by clicking "unsubscribe" or emailing us directly.
